This Privacy Policy explains how Repair My Specs collects, uses, stores and shares personal information when you visit our website, contact us, request a repair assessment or use our glasses-frame repair service.
1. Who we are
RepairMySpecs.co.uk is operated by Sunil Varma, a sole trader trading as Repair My Specs. Sunil Varma is the data controller responsible for the personal information described in this policy.
Correspondence address: 79 Bourton Road, Banbury OX16 2DL
Email: info@repairmyspecs.co.uk
2. Personal information we collect
Depending on how you interact with us, we may collect:
-
Your name and contact details, including your email address, telephone number, postal address and return-delivery address.
-
Information you provide when requesting an assessment or quotation, including messages, descriptions of the damage and photographs or videos of your glasses.
-
Details about the glasses sent to us, such as the brand, model, frame material, condition, damage and any previous repair attempts.
-
Repair records, quotations, approvals, invoices, payment status, delivery choices, tracking information and correspondence about the service.
-
Limited payment information relating to payments made through a Wix payment link, such as the amount paid, payment reference, payment status and confirmation of payment. Wix or the payment provider presented to you processes your card details; we do not receive or store your complete card number or card security code.
-
Communications you send to us, including enquiries, complaints, feedback and requests relating to your personal information.
-
Technical and usage information collected through the website, such as your IP address, device and browser information, pages visited, approximate location derived from your IP address and website interaction data.
-
We do not need your glasses prescription or other health information to assess or perform a frame-only repair. Please do not send prescription or medical information unless we specifically ask for it and explain why it is required.
3. How we collect your information
We collect personal information:
-
Directly from you when you complete a website form, email or telephone us, submit photographs, approve a quotation, send us your glasses, make a payment or raise a complaint.
-
Automatically when you use our website, through essential website technologies and, where you have consented, analytics technologies.
-
From service providers involved in your repair, payment or delivery, for example when a payment provider confirms payment or a postal provider supplies tracking information.

We currently use your email address and telephone number only for service-related communications, such as responding to an enquiry, discussing a quotation, requesting information about a repair, sending payment instructions or providing order and delivery updates. We will not use your telephone number for marketing.
If we decide in future to tell existing customers about a new service, such as lens replacement, we will first ensure that we have an appropriate lawful basis and comply with the electronic-marketing rules. Where consent is required, we will ask for it. Every marketing email will provide a clear way to unsubscribe, and you may object to direct marketing at any time.
5. Repair photographs
Photographs you submit are used to assess visible damage, determine whether a repair may be possible, prepare a quotation and maintain an appropriate repair record.
We will not use identifiable customer photographs in advertising, on social media, in blog articles or as public before-and-after examples without obtaining separate permission. Where practical, we may use fully anonymised images that cannot reasonably be linked to you.
6. When we share personal information
We may share the minimum information necessary with trusted organisations that help us operate the website and provide the service, including:

These organisations may act as our processors, independent controllers or both, depending on the service they provide. We require service providers acting on our behalf to handle personal information securely and only for authorised purposes.
We do not sell or rent your personal information.
If we sell or transfer the business, personal information may be disclosed to a genuine prospective purchaser and transferred as part of the business, subject to appropriate confidentiality and data-protection safeguards.
7. International transfers
Some of our service providers may store or process personal information outside the United Kingdom. Where this happens, we will use providers and safeguards permitted under UK data-protection law, such as UK adequacy regulations or approved contractual protections.
You may contact us if you would like more information about the safeguards relevant to your personal information.
8. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, tax, complaint and dispute requirements. Our usual retention periods are:
-
Enquiries and assessment photographs where no repair proceeds: up to 12 months after the last contact.
-
Repair photographs and routine repair correspondence: up to 24 months after the repair is completed, unless needed for a complaint, dispute or legal claim.
-
Quotations, invoices, payment and transaction records: generally up to six years for tax, accounting and legal purposes.
-
Complaint and dispute records: up to six years after the matter is closed where necessary to protect our legal rights.
-
Website security and diagnostic records: for the period reasonably necessary to protect and maintain the website.
We may delete or anonymise information earlier where it is no longer required. We may retain it for longer where the law requires this or where it is necessary in connection with an existing or reasonably anticipated legal claim.
9. How we protect your information
We use reasonable organisational and technical measures designed to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. These include limiting access to information, using reputable service providers, protecting accounts and devices, and using secure website connections where available.
No method of transmitting or storing information is completely secure. If we become aware of a personal-data breach, we will assess it and notify affected individuals and the Information Commissioner’s Office where required by law.
10. Your data-protection rights
Depending on the circumstances, you may have the right to:
-
Ask for a copy of the personal information we hold about you.
-
Ask us to correct inaccurate or incomplete information.
-
Ask us to delete your information.
-
Ask us to restrict how we use your information.
-
Object to processing based on legitimate interests or for direct marketing.
-
Receive certain information in a portable format or have it transferred to another organisation.
-
Withdraw consent at any time where we rely on consent. Withdrawal does not affect processing that was lawful before consent was withdrawn.
These rights are not absolute and exemptions may apply. We may need to request information to confirm your identity before responding. We will normally respond within one month and will tell you if we need more time.
To exercise a right, email info@repairmyspecs.co.uk. You will not normally be charged a fee.
